Who is responsible for your information?
Eastleigh Website Design is the trading name used for the website design service at eastleighwebsitedesign.co.uk. We decide how the personal information received for our own enquiries and business administration is used, and act as the data controller for that information.
Contact us at info@eastleighwebsitedesign.co.uk or 023 8001 5827. Our office contact address is International House, International Business Park, Southampton SO18 2RZ.
Information we receive
- Enquiries: your name, email address, business name, website address, package preference and the information you choose to include in a message. A phone conversation or email may also include your telephone number and project requirements.
- Correspondence: messages, quotes and information needed to respond to you or agree a project.
- Technical information: the hosting and security services may process your IP address, requested URL, date and time, browser/device information and security-related request data to deliver and protect the website.
Please provide only information relevant to your enquiry. Do not put passwords, payment-card details, sensitive personal information or information about other people that we do not need into the form.
How the enquiry form works
The form prepares a draft in your own email application. Completing it or pressing “Prepare my enquiry” does not automatically submit your details to a website database or send an email. You decide whether to send the draft using your email application. Its provider then processes the message under its own arrangements.
If you send the email, we receive the information you include and use it to respond. The optional download creates an enquiry text file on your device; it does not upload that file to us. The form does not save the entered information in cookies or browser storage.
You can instead email us directly or call the number above. If the enquiry process changes to a hosted submission service, this notice will be updated to explain that processing.
Why we use information and our lawful bases
| Purpose | Lawful basis |
|---|---|
| Replying to a request you make for a quote or taking steps towards a contract with you. | Taking steps at your request before entering a contract, or performing a contract where applicable. |
| Answering business questions, communicating with business contacts and keeping relevant correspondence. | Our legitimate interests in responding to enquiries and running the website design service, balanced against your rights. |
| Delivering the website, detecting misuse and investigating security problems. | Legitimate interests in operating a reliable and secure website. |
| Keeping records or providing information where the law requires it. | Compliance with a legal obligation, where applicable. |
Information requested in the enquiry form helps us understand and answer your request. You are not obliged to send an enquiry; without suitable contact details or project information we may be unable to respond or prepare a useful quote. This website does not use automated decision-making or profiling to decide whether you can receive a service.
Who may receive information?
For the public website, Cloudflare provides hosting, content delivery and security. Cloudflare may process technical visitor information to provide those services. See Cloudflare’s privacy policy for its explanation of that processing.
Email and telecommunications providers process information needed to deliver messages and calls. Where necessary, relevant information may also be shared with professional advisers or public authorities for legal, accounting or dispute-resolution purposes. We limit the information shared to what is needed for the purpose. We do not sell enquiry information or add an advertising tracker to this website.
Some service providers, including Cloudflare, operate internationally and may process information outside the UK. Their applicable privacy and data-processing terms describe the transfer arrangements and safeguards. You can contact us for information about the providers used for your enquiry and any applicable transfer safeguards.
How long information is kept
Enquiry correspondence is kept while the request and any reasonable follow-up are active, and where needed to explain a quote, resolve a complaint or establish relevant legal rights. We review closed enquiries and delete or anonymise them when those purposes no longer require identifiable information. We do not retain unsuccessful enquiries indefinitely just in case they become useful.
If an enquiry becomes a client project, information needed for the agreement, delivery, accounts and legal obligations may need to be kept for the periods relevant to those purposes. The criteria include the project’s status, applicable accounting requirements and the need to resolve a dispute. Technical hosting and security information is retained under the provider’s applicable terms and operational requirements. You can ask us about the retention of information relating to you.
Cookies and other website technology
The website code does not set analytics or advertising cookies and does not use advertising pixels. It uses a system font stack, so it does not request Google Fonts. Essential hosting or security technology may be used by Cloudflare depending on the features enabled; Cloudflare explains these technologies in its privacy information.
If optional analytics, marketing cookies or a different form service are introduced, the relevant information and any consent controls required for that service must be provided before that processing starts. External links take you to independently operated websites with their own privacy notices.
Your data protection rights
Depending on the circumstances, you can ask to access your personal information, correct inaccurate information, erase it, restrict how it is used, or receive certain information in a portable format. You can object to processing based on legitimate interests. Where processing relies on consent, you can withdraw that consent without affecting the lawfulness of processing before withdrawal.
These rights are subject to the conditions and exceptions in data protection law. Email info@eastleighwebsitedesign.co.uk to make a request or raise a concern. We may need enough information to confirm your identity before disclosing personal information.
You also have the right to complain to the UK Information Commissioner’s Office. Visit ico.org.uk/make-a-complaint. You do not have to contact us before exercising that right.
Changes to this notice
This notice may be updated when the website, its services or the way information is handled changes. The date above identifies the latest version. Please contact us if you need clarification about a particular enquiry.
